Specific Duties
- Maintains high levels of professionalism when interacting and communicating with other Executives, Directors, Managers and Team Leads to gather or convey information. Facilitates, when necessary, a liaison role between the CEO and their teams, clients, business associates, board of advisors and others to ensure continuity of efforts and completion of applicable tasks.
- Determines priorities of inquiries and problems received from both internal and external sources; provides answers and information; refers problems to appropriate individuals and follows up to ensure that answers or information have been received by inquiring party.
- Performs research and other duties necessary to obtain information; gathers and organizes data and prepares reports for review and action by others.
- Plans and coordinates meeting events such as national sales meetings, executive retreats, board of director meetings.
- Creates dynamic PowerPoint presentations. (Marketing background would be helpful.)
- Ad hoc reporting.
- Distributes incoming and outgoing correspondence daily.
- Coordinates CEO schedule and calendars.
- Performs required secretarial/administrative assistance duties including composing correspondence for signature; managing files; making travel arrangements; preparing expense reports; directly receiving external phone calls; attending meetings and preparing and distributing meeting minutes, agendas and presentation materials. Provides back-up supports for other Executives when necessary.
- Assists in Real Estate Management
- Gains authority level management of key executive initiatives such as marketing campaigns, assisting with sales updates, overseeing critical timelines and projects, dealing directly with clients and their relationships.
- Other duties as assigned by the CEO.
Essential Job Duties & Responsibilities

High volume data entry of invoices
- High level of internal and external customer service
- Reconciliation of vendor accounts
- Preparation and entry of journal entries
- Reconciliation of assigned General Ledger accounts
- Assist with month end closing as needed
- Check-run auditing
- Back up for weekly check run
- Filing of AP invoices
- Special projects as assigned by the AP Supervisor
